TextAdmin

Features

Everything below is in the app today. Where something is a deliberate limit rather than a missing feature, it says so.

Answering

  • Replies automatically to any text sent to your business number, without you touching the phone.
  • Answers from your services, service area, pricing notes and FAQs, and from your own website — and from nothing else.
  • Speaks as your business in the first person, not about it in the third.
  • Identifies itself as an automated assistant in the first message of every conversation. This cannot be turned off.
  • Short messages that read like texting: one question at a time, never cut off mid-word.
  • Answers a question and asks its own in the same message, then stops nagging once the customer is the one asking.
  • Recognises when a customer says they will get back to you later, acknowledges it once, and goes quiet instead of pressing for an address.
  • Sends a holding message if your phone has not answered for a few minutes, so nobody sits in silence.
  • Screens out spam and robotexts before the assistant engages at all.
  • Runs in English or Spanish, set per business.

Getting the address right

  • Reads addresses out of casually typed messages, including partial addresses, cross-streets and postal codes.
  • Copes with how people actually type: apostrophes, hyphens, and a direction on the end ("Queen St West").
  • Asks which town whenever the customer did not say. A bare street name resolves confidently to the wrong municipality, and asking is the only thing that catches it.
  • Reads the resolved address back for confirmation before finishing, so a mistake is visible while it is still cheap to fix.
  • Requires somewhere a crew can be driven to. A landmark or "in my backyard" is asked again, then handed to you — never pinned to a town centre and passed off as captured.
  • Recognises an address outside your service area, and drops the visit promise rather than committing you to a job you will not take.
  • Turns an address into map coordinates using the phone's own mapping service.
  • You can correct any address yourself, and the assistant never overwrites your correction.

Leads, map and reports

  • A score out of 100 for every conversation with the reasoning shown: how it resolved, whether an address was captured, first-response speed, how the customer sounded, and whether it needed you.
  • Hot, Warm, Cold, Not a lead and Spam labels at a glance.
  • Eight lifecycle states — Open, Escalated, Scheduled, Completed, On hold, Canceled, Rejected and Out of area — so a week of work reads as a pipeline.
  • A map with one pin per request, coloured by score or by state, with your service area drawn on it. Requests with no address land in their own tray so they are not silently lost.
  • An on-demand report for today, yesterday, the last week or month, or any range you pick: conversations, closed, escalated, average score, average first-response time, addresses captured, out-of-area count, spam filtered.
  • Search every thread by name, street, phone number however you type it, or by anything the customer actually said.
  • Export a range as PDF or CSV with full transcripts, or a single lead as a contact card that drops into your address book or CRM without retyping.
  • Read every conversation, report and map with no signal. Only sending and receiving needs a connection.

Staying in control

  • A push notification the moment a conversation is handed to you.
  • Automatic handoff on emergencies, anger or complaints, any demand for a firm price or commitment, a request for a human, or repeated confusion.
  • Take over any thread with one tap and type as yourself in a proper multi-line composer, then hand it back when you are done.
  • One switch silences the assistant on every thread at once. Messages still arrive and nothing is lost; switching it back on restores every thread exactly as it was.
  • Block a nuisance number, and undo a block or a wrong spam flag whenever you like.
  • Fix a name the assistant got wrong; your correction stands.

Grounding and safety

  • The assistant states no fact that is not in your business profile. Prices, guaranteed times and contractual commitments especially.
  • When it does not know, it says it will check with the team and flags the thread — it does not guess.
  • Every answer it gives is traced back to the source it came from, and an answer it cannot source is not sent.
  • Even a time promise published on your own website is stripped rather than quoted, because marketing copy on a web page becomes a personal guarantee when a bot texts it to one person.
  • Closing commitments are wording you approved, not wording the assistant chose.

Privacy and your data

  • No analytics, no tracking, no advertising identifiers, no third-party tracking software.
  • Enquiries are never sold, never shared for advertising, and never used to train AI models.
  • Conversations are stored on your phone behind Face ID or your passcode.
  • Backed up to your own private iCloud, with message text, names, phone numbers and addresses stored encrypted so Apple cannot read them either.
  • You set the retention period — two years by default, adjustable from one week to ten — and older conversations delete themselves.
  • Erase everything, on every device, in one confirmed tap.
  • Exported reports are generated at the moment you share them and are never written to disk.
  • The relay that carries messages to your phone holds them in memory only. It never stores a message body and never calls an AI model.
  • Which mode composes replies is shown in Settings, along with where it is pointed. Both modes are set out in the privacy policy.

Compliance

  • Reply-only by construction. There is no path in the product that starts a conversation, so texting your number is the consent.
  • The automated-assistant disclosure opens every conversation and cannot be disabled.
  • STOP is applied before anything else can run, and written to disk so a restart cannot resurrect an opt-out.
  • STOP, START and HELP are answered by the mobile carrier; the durable record is ours.
  • We help you register with the carriers under your own business name, and give you terms you can publish on your own site.

Not in the product

Stated plainly so you can rule it out quickly. No calendar or appointment booking, no quotes, invoices or payments, no team accounts or multiple users, no voice calls, no picture messages, no WhatsApp or RCS, no direct sync with field-service software, and no second business or second number on one deployment. iPhone only.
